I've been using QuickBooks Online for my small HVAC outfit, but it's a pain in the ass tracking parts like R-410a cylinders and labor for superheat adjustments separately from the generic invoicing. Every time I do a Trane XR service call, I end up manually categorizing everything because the software doesn't have built-in fields for tonnage or SEER ratings. Switched to trying Housecall Pro last month and it's way better for dispatching techs on mini-split installs, but the bookkeeping side still feels clunky without custom tags for things like zone 5 insulation tie-ins. Anyone else dealing with this? Saw a post on r/HVAC where a guy ranted about similar issues, and someone in the HVAC Techs Network group recommended FieldEdge for better integration with inventory like Uponor fittings. TBH, I don't want to pay for another subscription if it's just gonna complicate things more. What's your go-to for keeping HVAC-specific expenses straight without losing your mind?
